PA / Admin assistant

We are seeking a highly organised, professional and efficient person to join our digital product design studio. In this role you will provide vital support to our director and team of designers by ensuring the smooth operation of the studio.

Commitment
1-2 days per week. Flexible hours available.
Location
Perth, WA / Remote - 50% in-office due to requirements of the role.

About us:

We’re a small team, working flexibly to suit our projects and lifestyles. We’re in the CBD office when required, at client premises when they need us, or working from home if we need to. We’re small but mighty, and design digital products and user interfaces for some of Australia’s largest companies - and a couple of global ones too! 

Responsibilities:

  • Provide high level and administrative duties to the Design Director.
  • Extensive calendar management for business and personal commitments.
  • Communicate with clients and vendors where required.
  • Prepare presentations and reports.
  • Preparing tender specifications and associated documentation.
  • Exercise discretion and confidentiality in all work tasks.
  • Organising travel itineraries
  • Note taking for meetings and training workshops where required
  • General administrative tasks such as answering emails, managing documents, and handling correspondence.
  • Provide support to other members of the project team when needed

Additional but not essential:

We would love to shape the role for the right candidate. There is scope to assist with and work on the following areas below on an ongoing basis. These are not essential, but desirable depending upon your experience & individual career growth plans.

Digital marketing:

  • Updates and edits to web pages using the CMS and social media platforms
  • Email marketing assistance
  • Social media planning and scheduling

Bookkeeping/Admin:

  • General bookkeeping assistance
  • Invoicing, billing, and payment processing.
  • Maintaining timesheets and payroll records.

About you:

  • Excellent organisational and time management skills.
  • Strong communication and interpersonal skills.
  • Proficiency in Google suite (Docs, Sheets, Drive & MS Office equivalents).
  • Familiarity with task management & project management tools.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills in English.
  • Ability to function well in a fast-changing digital environment with associated levels of ambiguity.
